Public Holidays


The Public Holidays page allows you to configure public holidays or other company/location wide holidays, such as Christmas shutdowns for your organisation. Both types of Public Holiday are geographical, therefore location specific, and organised into Calendars. The management of public holidays is available to Administrators from 'Settings' on the main menu by selecting the 'Public Holidays' sub menu.



Calendars

The Calendars node lists all the defined company calendars. Each calendar is a container for events (dates) which are Public or company holidays and are applied to a specific country and location(s) in that country.

Leave Types

The Leave Types node lists all the defined company Public Holiday leave types. These are special leave types that have the events from calendars assigned to them. A leave type named Public Holiday is created automatically by the system which is all that is needed for most companies. More can be created if needed and in our example a Christmas Close leave type has also been defined for the company wide Christmas closure days. These event types cannot be booked by users. They are compulsory holidays which you can choose to deduct or not from a user's allowance. It should be noted that if deducted from the user allowance and their allowance is less than the number of days to be deducted their allowance will increased so the remaining allowance is 0.

Calendar Information Pane

On the right hand side of the page is an information pane which provides some details about the selected Calendar including a full paginated list of it's event dates. You can edit and delete single events directly from this page, without having to edit the calendar by clicking the 'edit' or 'delete' link on the far right hand side of the row where the event is listed.


Public Holidays Sub Menu

Near the top of page, just below the main menu is the Public Holidays sub menu which has up to six buttons as follows:



New Calendar

Clicking this button will take you to the 'Calendar Details' page and allow you to create a new calendar.



Name

This field allows you to enter the new calendar name.

Details

This field allows you to enter some details about the calendar to explain what events it contains.
 
Applies to locations in country

This setting allows you to select which country the calendar applies to from the drop down box.

Applies to locations

This setting allows you to select which locations in the previously selected country the calendar applies to from the drop down box. An 'All' option is included in the list.

Active?

This setting allows you to specify if the calendar is currently in use or not by ticking the box.

Auto Update

If ticked, this calendar will automatically be updated with public holidays for the selected country as they are added by LeaveWizard. We maintain a database of Public Holidays for all countries that our customers use. Rather than having to manually add the Public Holidays for each new year, if this option is selected the Public Holidays for each year will be added soon after we create it. 

Leave Type

The event type to use automatically when adding new public holidays to this calendar can be selected from the drop down box.

Base Template

If you don't add a template at this stage then a calendar with no events will be created which can be edited later and events added. Normally however you will want to add Public Holidays for a particular year and country and  you can choose one we have created for you from the drop down box.



Edit Calendar

Clicking this button will take you to the 'Calendar Details' page and allow you to edit the currently highlighted calendar.



This page has the same fields as the New Calendar page on the left hand side of the page but they are pre-filled with the data for the currently selected calendar so you can edit them. The only field not present is Base Template.

On the right hand side is a list of all the events in the calendar. This list is paginated with a page selection tools below. Each event entry can be edited or deleted by clicking the 'edit' or 'delete' link on the far right hand side of the row where the event is listed.
Above the list are two controls for adding new events to the list.

The 'Add a New Calendar Event' allow a single event to be added.

The 'Add template events from' allows templates for a year for any country selected by the drop down box 'Select calendar event' to be added as a leave type, normally 'Public Holiday'. So, if you need to add UK Public Holidays for 2020 then you would see the following sentence made from the contents of the selection boxes:

Add template events from 'UK Public Holidays 2020' as 'Public Holiday'

When you press 'Go' the events from the template will be added to the calendar.

 
New Leave Type

Clicking this button will take you to the Leave Type Details page.



Name

This field allows you to enter the new leave type name.

Company Leave Type

As you are creating a new Public Holiday type this setting will default to 'Public Holiday' and does not need to be changed.

Colour

This setting allows you to choose a colour to use on charts and calendars to quickly and easily visually locate and identify an event type.

Include in the allowance of

If you want the Public Holidays to be deducted from a leave allowance then you can choose which allowance from the drop down box of available leave types for your company. Normally this setting will be either 'None' so that Public Holidays are not deducted from the allowance or 'Holiday' so they are included in the main holiday allowance and should be deduced from it.

Active

This setting allows you to specify if the leave type is currently in use or not by ticking the box.


Edit Leave Type

This button becomes available when a Leave type is highlighted. Clicking this button will also take you to the Leave Type Details page like the New Leave Type button described above but the fields are pre filled with the data for the selected Leave Type so you can edit them.

New Public Holiday


Clicking this button allows you to quickly add a new Public Holiday or company holiday event directly into a calendar without having to edit the calendar.
